This Privacy Notice (“Notice”) describes how we may collect and use data, which may include personal data, that job applicants or candidates for employment, partnership or ad-hoc engagements involved in our recruitment processes (“you”, “your”, “yours”) provide to us through www.klookcareers.com (“Site”) and/or any other means. In respect of any data constituting personal data which you provide to us, Klook Travel Technology Limited is the data controller. 

This Notice applies in conjunction with any other policies, notices, contractual clauses, statements, and consent clauses that apply in relation to our processing of your data. 

Please read this Notice carefully. By providing your data to us through the Site and/or any other such means, you consent to us collecting, using, disclosing, or otherwise processing your data in accordance with this Notice.

We reserve the right to update, amend, or otherwise modify the terms of this Notice or any part thereof by placing the updated Notice on the Site. By continuing to engage with our recruitment staff or applying to our job openings, you signify your acceptance of such updates, amendments, or modifications.

2. What data do we collect?

We collect data about you:

  • when you provide such data to us;
  • automatically through technical means; and/or
  • via third party sources. 

Where you are given the option to share your data with us, you can always choose not to do so. Data that you may choose to provide to us include:

  • personal contact data, such as your name, email address, correspondence address, geographic location, and phone number;
  • application documents such as your resume, CV, or cover letter, which may include details of your past and current work experience, educational qualifications, professional certifications, language skills, and other applicable data;
  • details relevant to the role you applied for, including but not limited to work permit details, notice period, current and desired salary, compensation and other benefits, job preferences, and ability to relocate for work;
  • details of your personal referees, emergency contacts, next-of-kin, spouse and other family members as provided by you; 
    records of your progress through our recruitment process, copies of applicable assessment results and responses, and your correspondence with us; and
  • any sensitive personal data obtained in accordance with applicable law during the application or recruitment process, including but not limited to gender, citizenship, nationality, financial, medical or health information, and/or your racial or ethnic origin.

Data that may be collected automatically through technical means include technical details of your visits to this Site, including but not limited to IP address, location data, device information, operating system, and pages viewed. For more information about how such technical details are collected, please refer to the “Cookies” section below.

Data collected via third party sources include: 

  • information about you that is publicly-available and/or obtainable through an Internet search (e.g. on LinkedIn or your social media platforms);
  • information provided by your personal referees and recruitment agencies;
  • information about you provided by our employees who are referring you for employment; and
  • results of background screening checks on you conducted by third parties.

3. How do we use your data?

We use your data for the purposes of: 

  • verifying your identity and the accuracy of any information which you provide to us;
  • evaluating your suitability and candidacy for employment, partnership or ad-hoc engagements as part of our recruitment process;
    analytics;
  • detecting, preventing or otherwise addressing fraud, security or technical issues;
  • complying with any laws, customs and regulations which may be applicable to us.

We will process data for a different or new purpose only if we have a legitimate or lawful basis for doing so, consistent with the applicable data protection law of the country in which the personal data was collected. 

Any sensitive personal data will only be processed in a manner that is lawful, fair and transparent, and compliant with all principles and requirements of applicable law.

To the extent that any third parties (e.g. recruitment agencies, recruitment software platforms, etc.) are engaged by us to perform parts of the recruitment process, all such third parties act as our data processors and shall only process your data in accordance with our instructions unless you have a separate arrangement with such third party. 

If you are offered and accept employment or engagement by us, the information collected during the application and recruitment process will become part of your employment record. Please refer to our Employees Privacy Statement for more information on how we collect, use, disclose, or otherwise process employee personal data.

 

4. When do we disclose your data?


We may, from time to time, disclose your data to third parties and/or data processors for the purposes stated in this Notice, some of whom may be located outside your home country.

We may disclose your data:

  • to employees and other personnel in our corporate group;
  • to our third party service providers, including but not limited to administrative and human resources services providers, banks, insurance companies, recruitment agencies, data storage providers, and other parties who maintain this Site on our behalf;
  • to a new controlling entity or its authorised third party in case of a corporate transaction in connection with the sale, merger, acquisition, or other corporate reorganization or restructuring of our corporation;
  • to our advisors, agencies or other parties concerned in order to protect our rights and property;
  • if and to the extent required by any applicable laws, order of court or requests by any governmental authority to make such disclosure; and in any other case, to third parties with your prior written consent.

For any transfer of data constituting personal data to a country that does not provide an adequate level of protection as the European Union, we will use reasonable endeavours to ensure that appropriate safeguards are in place. Such safeguards include, but are not limited to: 

  • standard contractual clauses of the European Commission;
  • the EU-US and Switzerland-US privacy shield; and/or
  • any other appropriate cross-border transfer mechanisms.


5. How is your data stored?

We retain your data for as long as it is necessary to: (a) fulfil the purposes for which they were collected; (b) comply with our legal, tax, or accounting requirements; and/or (c) as permitted under applicable law. Generally:

  • for successful applicants who become our employees, your data will be retained for no more than ten (10) years after termination of your employment or engagement with us; and
  • for unsuccessful applicants, we retain your data for no more than six (6) months after your latest job application date, or two (2) years after your latest job application date if we have your consent to do so.

If you are based in a country where applicable laws require different retention periods from those mentioned above, we will adhere to such applicable law and/or obtain your consent as appropriate. 

After the end of the applicable retention period, we will cease to retain your data and/or remove the means by which the data can be associated with you. 

We store and manage your data in our human resources management system, Workday. 

 

6. How is your data protected?

We have introduced, and will continue to introduce, appropriate technical, physical and organisational measures to safeguard your data from accidental  or  unlawful  destruction  or  accidental  loss,  damage, alteration,  unauthorised  disclosure  or  access,  and  against  all  other forms  of  unlawful  processing  or similar  risks. 

Such measures include, but are not limited to, encryption of your data in transit and at rest, and disclosing your data both internally and externally on a need-to-know basis only. 

Please be aware that no method of transmission over the Internet or method of electronic storage can be completely secure. While we strive to protect the security of your information and constantly review and enhance our technical, physical and organisational measures, we do not give any representation, warranty or undertaking that the data you provide to us will be secure at all times.

In the event of any data breach, we will notify you and/or the appropriate regulator as may be required under applicable law.

 

7. Cookies

Cookies are small text files stored in your browser that contain basic information about your internet use, such as login details and your previous browsing records. We use cookies to:

  • ensure the efficient functioning of the Site;
  • evaluate how the Site is accessed and used; and
  • recognise and provide you with services customised to your settings you choose.

8. Language

This Notice is written in the English language. In the event of any inconsistency or conflict between the English and other language versions, the English language version shall prevail.

 

9. Your Rights

We have designated Klook Travel Technology BV (Weesperstraat 61 1018VN Amsterdam, Netherlands) as our representative in the European Union for the purposes of the European General Data Protection Regulation. If you are within the European Union, you have the right to file a complaint with the appropriate data protection authority.

You may at all times access, correct or erase your data through the Settings Page on this Site. 

Alternatively, you may make a data access, correction or erasure request, request restriction or object to processing of your data, or request for a copy of the data that we hold about you in accordance with the “Contact Us” section below. 

When handling any request described above, we reserve the right to verify your identity to ensure that you are entitled to make such a request.
